Freezing, renewing and cancelling: the paperwork side, without the fog
Most disputes between gyms and their members do not come from the training. They come from the paperwork: when did the term start, why was the freeze not applied, who renewed the subscription without asking. Because vagueness on those points is the usual trap, we set them out plainly here. What follows is a plain-language summary, and the reference on any detail is the membership, freeze and cancellation policy at Goldy Club.
Your membership code and what it does
When your subscription completes you receive your own code together with the start and end dates of the term. The code is your identity on entry, when booking classes and on any administrative request, and through it we know your package and the sessions remaining without you retelling your story each time. It is personal and not to be shared: use of it by anyone else suspends the membership. That is protection rather than severity, because somebody attending in your name means your file carries training you did not do and measurements that are not yours, and it means a class place was taken from your balance. If you lose your code, or suspect someone else has seen it, tell us and we will issue a replacement.
When the clock starts
Membership runs from the activation date shown in your confirmation, not from the date of your first visit. This one point wastes a great many days every year: an enthusiastic member joins today and starts a fortnight later, having paid for two weeks they never used. So if you intend to begin after a trip or after a busy season at work, tell us before you pay and we will set the activation date to the day you genuinely start.
Freezing: pause the clock rather than lose the time
A freeze pauses the clock, the frozen days are added to the end of your term, and a class pack has its validity extended by the same period. Its practical rules:
- Ask in writing and in advance through WhatsApp, email or reception, naming the start and end dates you want.
- No retrospective effect: a freeze is never applied to days already gone, so a request made after a month of absence does not recover that month.
- No attendance while frozen, and the first attendance ends the freeze automatically and restarts the clock.
- A documented medical situation supported by a report is treated more generously than a discretionary freeze, so send the report early.
Renewal
We do not renew your subscription automatically behind your back. We remind you before the term ends and the decision stays yours, and if you chose a recurring subscription yourself we say so clearly before payment rather than in small print inside the terms. At renewal you are entitled to move your package up or down according to what you learned about yourself during the last term; a member who attended twice a week for three months now knows what suits them far better than they did on the day they joined. And a price change never applies to a membership already running, only to its renewal after notice to you.
Cancellation
If you decide to stop, the process is written down and simple, and we will not pass you between staff in the hope of talking you out of it. Send your request in writing with your membership code, and the reason if you care to give one. A cancellation before activation and before any attendance is refunded in full; after starting, the policy governs the detail: the unused term is considered after deducting what has been consumed, and sessions already taken from a pack are not refunded. Where a documented medical situation prevents training we would rather offer an extended freeze, because it preserves the full value of your subscription, but we will not withhold your rights if the condition prevents you returning at all. Any refund is made by the method you paid with, and your payment provider decides how long it takes to appear.
What we need in any request
Your membership code or the telephone number the subscription is registered to, a clear statement of what you are asking for, whether a freeze, a cancellation, a change of package or a booking change, the dates involved, and a medical report where the request is on health grounds. Those four things spare everybody a round of correspondence and usually get you an answer within one working day.
